Free time card and pay calculators

Timesheet Calculator

Type or paste one shift per line, for example Mon 9:00 17:30 30, and get the total hours, a table of each shift and optional pay.

The timesheet calculator adds up a list of work shifts and gives you total hours, shift count, average shift and longest shift in one result. Type one shift per line and the result updates as you type. This free online timesheet calculator runs in your browser, and there is no account or sign-up.

Each line holds an optional label or date, a start time, an end time and an optional unpaid break. You can check a single work week, two weeks of part-time shifts or split shifts with two shifts in one day. If you enter an hourly rate, the calculator also shows gross pay before any overtime is added.

How to use the Timesheet Calculator

  1. Choose a preset above the form if one fits: one work week (Mon to Fri), two weeks of part-time shifts or split shifts. Otherwise, use the starting example.
  2. Click in the text box and enter one shift per line, for example Mon 9:00 17:30 30. Blank lines are skipped, and you can enter up to 100 shifts.
  3. Read the result. Total hours appear as h:mm and as decimal hours, with the number of shifts, the average shift and the longest shift.
  4. If you want pay, enter an hourly rate. Gross pay is total hours multiplied by the rate.
  5. Read the table, which has one row per line showing the in time, out time, break, hours and decimal hours.
  6. Open “How it was calculated” under the result to see the formula and your values step by step.
  7. Open “More options” if you want to round times, using the rounding select (none by default).
  8. Select Reset to return to the starting example.

Use Copy result to copy the result lines with a link. Use Copy link to copy the page address, which stores every input, so the same calculation reopens later or can be sent to someone else. Print / save as PDF gives a one-page record of the inputs, results, steps and date.

How are hours worked out for each shift?

The hours for each line equal the end time minus the start time minus the unpaid break. For example, 9:00 to 17:30 is 8:30 elapsed, and a 0:30 break leaves 8:00. Times without am or pm are read on the 24-hour clock, and a break can be typed in minutes (30) or as hours and minutes (0:30).

The total is the sum of all shift hours. The average shift is the total divided by the number of shifts. The longest shift is the largest single line.

What happens to a shift that ends after midnight?

If the end time is earlier than the start time, the calculator treats the shift as running past midnight. It adds 24 hours and shows a warning. For example, 22:00 to 6:00 with a 30 minute break is 8:00 elapsed, which leaves 7:30.

Can I use it for a split shift?

Yes. Put each part of the day on its own line, for example Mon 8:00 12:00 and Mon 13:00 17:00, and the hours of both lines are added together.

How does rounding change the total?

The rounding select rounds every start and end time to the nearest 5, 6, 10, 15 or 30 minutes before the hours are added up. It uses the same rule as the Time Card Calculator, and a warning appears when it is applied. For example, with 15 minute rounding, the three shifts 9:07-17:02, 8:55-17:21 and 22:00-6:00 (each with a 30 minute break) total 22:45 instead of 22:51. U.S. Department of Labor Fact Sheet #22 discusses rounding time punches to the nearest 5 minutes, tenth or quarter hour.

What if a line has only one time?

Every line needs a start and an end time. A line with only one time, or with text that cannot be read as a time, stops the calculation and the message names the line number, counting blank lines. Fix that line and the total returns.

Frequently asked questions

How many shifts can I enter at once?

You can enter up to 100 shifts at a time, with one shift on each line. Blank lines are skipped and do not count as shifts.

Why does my line show an error?

The error names the line number, counting blank lines, and says what was wrong. It may say the line shape is unreadable, a value is not a time, the break is bad, or the break is longer than the shift.

Which date formats work as labels?

A label can be a word such as Mon or Monday, an ISO date such as 2026-10-05, or a slash date such as 10/5. A month name followed by a day, such as Oct 5, is not supported.

What separators can I use between start and end?

You can use a space, a hyphen, an en dash or the word “to”. For example, 9:00-17:00 and Tue 9am to 5pm 45 min both work.

Does the calculator add overtime to gross pay?

No. Gross pay is total hours multiplied by the hourly rate, with no overtime added. For example, 27:00 at a rate of 16.25 gives gross pay of 438.75.

Can I type times with a dot or without a colon?

Yes. 9:30, 9.30, 0930, 9:30 pm and 17:30 are all read as times. Without am or pm, the number is read on the 24-hour clock.

Is the timesheet calculator free, and is anything I type uploaded?

Yes, it is free and needs no account or sign-up. Everything is calculated in your browser, and nothing you type is uploaded.

Is this tax or payroll advice?

No. Results are plain arithmetic on the numbers you enter, before any deduction. They are not legal, tax or payroll advice, and rules differ by country, state and contract.
